Scan Bin Count

Overview

The Scan Bin Count feature can be used for Cycle Counts by scanning. You can use an iPhone, iPad, or any Android device as your mobile scanning device.

User Setup

Scanning options are defined in the User Setup which will define the warehouse and scanning features a user can access.

Open the App Launcher.  Select User Setup.

  1. Select a Warehouse if needed.  By default, users are allowed to count inventory only in the warehouse selected.  Leave this field blank to allow bin counting in all warehouses.

  2. Edit the Menu field and add Bin Count for the user.

Login to Salesforce from a mobile device. 

  1. The menu items shown are assigned to the user from the User Setup.

  2. iOS and Android devices are compatible.

Bin List Page

Scan or select the Bin.

  1. Bins that meet these conditions are listed:

    1. Blocked = false.

    2. Warehouse = Warehouse on User Setup if it it not blank.

  2. Scan/Enter the Bin #, or click on the Scan button next to the listed Bin.

Scan Items Page

You will see items shown in blocks, with 2 possible colors:

Pink: nothing has been counted for the item

Green: the item has been counted

In each of the blocks, you will see:

  1. Item No. and Item Description

  2. Expect (This is the expected quantity in the bin)

  3. Count (This is the quantity that has already been counted)

  4. UOM (Unit of measure) 

You will only see items that have Expect quantity or Count quantity on this page. Items that have 0 expected quantity and 0 count quantity will not show up on the list until they are scanned and counted.

Scan Item and Unit of Measure

There are two ways of to scan the Item and Unit of Measure

  1. Scan the Item No, then check that the UOM is correct.  If not, close the popup and scan the item again and the next UOM will come up.

When beginning to scan an item, the UOM that is expected to have quantity comes up first, then other UOM's are rotated each time you close the popup and scan the item again.

  1. Scan the item's GTIN number.  The GTIN barcode will directly indicate the UOM you are counting. Set up the GTIN number in Item Unit of Measure.

Important - if you are manually entering the item or GTIN - press the "Enter" key on the device keyboard to continue.

Scan Lots

If the item is not lot tracked, just enter the count quantity.

If the item is lot tracked, you must enter or select a lot number.  you can click the Lookup button next to "Scan Lot #" to select from a list of available lots.

Review Counts by Item

After you count all the inventory for the item, you can double-click the item block to see the counted quantity by lots.

Click Reset to undo the counts for the item and start again.

Reset, Preview, and Post

Click Actions → Reset All if you need to reset all items in the Bin and start over.

Click Actions → Post.

You should post adjustments for the bin before you scan the next bin. Post button only posts adjustments for the current bin.

You can preview the adjustments before they are posted.  Adjustments will increase or decrease the bin quantities based on counts.  If any item or lot in the bin was not counted, the system will adjust that item or lot in that bin to zero. 

In the example below, 1,000 boxes were counted for item # 7000, lot # 05292020.   The lot was expected to have a quantity of 10, so the adjustment will increase the quantity by 990 (Count 1,000 - Expected 10 = 990).  Since we did not record counts for the other items in the bins, GoldFinch will reduce the quantity for the other items in this bin to zero.

Click Submit.

A Cycle Count journal will be created and posted to update the inventory in GoldFinch.

GoldFinch Scan Lines

  • All scanned quantities are saved to the Scan Lines table.
