How to Change an Item's Base Unit of Measure or Item Units of measure?

GoldFinch tracks inventory quantities for both Base Unit of Measure and each of the Item Units of Measure. The conversion between them is critical to ensure accurate quantity calculation.

Once you start entering transactions against an item, you will need to follow the steps below to change the Base Unit of Measure and Item Units of Measure.

Before you change the Base Unit of Measure:

Ensure the following requirements are met:

1. Zero out inventory for the item.

2. There are no “open” Sales Lines for the item. Sales Lines must be completed, closed, or deleted.

3. There are no “open” Purchase Lines for the item, i.e., Purchase Lines must be completed, closed, or deleted.

4. There are no “open” Item Journals for the item as an Output Item. Item Journals must be posted or deleted.

5. There are no “open” Item Journal Lines for the item as a Consumption Item. Item Journal Lines must be posted or deleted.

6. There are no “open” Work Orders for the item as an Output Item. All Work Orders must be Finished or deleted.

7. There are no “open” Work Lines for the item as a Consumption Item. All Work Lines must be Finished or deleted.

Before you change the Unit of Measure and Conversion fields on Item Units of Measure:

Ensure the following requirements are met:

1. Zero out inventory for the Item Unit of Measure.

2. There are no “open” Sales Lines for the Item Unit of Measure. Sales Lines must be completed, closed, or deleted.

3. There are no “open” Purchase Lines for the Item Unit of Measure, i.e. Purchase Lines must be completed, closed, or deleted.

4. No “open” Item Journals exist for the Item Unit of Measure as an Output Item. Item Journals must be posted or deleted.

5. No “open” Item Journal Lines exist for the Item Unit of Measure as a Consumption Item. Item Journal Lines must be posted or deleted.

6. There are no “open” Work Orders for the Item Unit of Measure as an Output Item. All Work Orders must be Finished or deleted.

7. There are no “open” Work Lines for the Item Unit of Measure as a Consumption Item. All Work Lines must be Finished or deleted.

How to Change

Click Update Item Units of Measure to change Base Unit of Measure and Item Base Units of Measure.

1. The Base Unit of Measure field is greyed out when the item is used on open transactions and when there is open inventory.

2. The name of the Item Unit of Measure record should match the Unit of Measure field.

3. Update the Conversion field.

Alternatively, you can update the Base Unit of Measure field directly on the Item page, then update Item Units of Measure records with proper conversions.
