Blind Cycle Count

Overview

  • To ensure accurate inventory quantities, warehouse supervisors will assign warehouse staff to count different areas of the warehouse

  • However, to ensure the staff doesn’t cut corners, the supervisor will assign “Blind Cycle Counts” plans.

  • The Blind Cycle Count plan directs the user through the locations and asks the user to enter the item and quantities.

    • Note: Blind cycle counts of serialized or lot tracked items is not currently supported

User Setup

  • If you want your warehouse staff to only be able to perform blind counts, remove the “Bin Count” option from the Menu

    • Open User Setup

  • If “Bin Count” is in the “Chosen” box on the right, move it to the “Available” box on the left by clicking the left arrow

  • If Blind Count” is in the “Available” box on the left, move it to the “Chosen” box on the right by clicking the left arrow

Create Cycle Count

Perform Blind Cycle Count

  • Using a mobile device, navigate to the Mobile Scan app

  • Click the “Blind Count” button

  • Find the Item Journal that was assigned to you and click Select

  • Review the Bin List

  • Click Select next to the bin you want to count first.

  • Travel to that bin location

  • Scan or Enter the first item you see in that bin

  • Count how many of that item is in that bin.

  • Enter the quantity and click Save

  • Check to see if there are any other items in that bin.

Adding Items

  • If there are additional items, scan or enter the item number

    • Then enter the quantity.

  • Continue until there are no items left in that bin.

  • The counts will be displayed after each entry.

Adding Quantity to an Item

  • If you find more of the same item, it will be added to the total

    • See Example below

Counting an Empty Bin

  • If a bin is empty, do not scan anything, instead click Actions

  • You will be prompted to confirm the bin is empty.

    • If empty: Click Complete

    • If you need to count items in the bin: Click the X

Finish Counting a Bin

  • If you have entered and counted all the items for that bin, click Actions and click Complete

    • You won’t be able to count this bin anymore.

    • The Bin List is displayed so you can select another bin to count.

Finishing the Item Journal

  • Repeat until all the bins have been counted.

  • Once all the bins are counted, you will see that all the bins in the Bin List will be marked as “Counted”.

  • If you have permission to make item adjustments

    • You will be able to post the inventory adjustments by clicking the “Post” button

  • If you do not have permission to make adjustments:

    • The post button will be greyed out.

    • Inform the warehouse supervisor you are done with the count so they can review.

    • Click the Close button

Other Info

  • If you need to take a break while in the middle of counting a bin, click the Back button

    • You’re counts will be saved

Reviewing Counts

Review the results

  • Open the Item Journal you want to review and click Edit

  • The journal lines have been updated based on the counts.

  • Note: If the system expects the bin to be empty and the user confirmed it was empty, it will not be displayed in this list.

  • See column definitions below

Column Name

Description

Physical Qty

This is the actual quantity the user entered for that item during the blind count on the mobile device

Calculated Qty

The is the expected quantity the system thinks is in the bin

Quantity

The difference between the Physical Qty and Calculated Qty.

Bin

The bin that was counted

Accept or Reject

  • To Accept the Count

    • Do nothing

  • To Reject the Count

    • Click the Delete button for that journal line (in the leftmost column)

  • You can also edit the Physical Quantity if necessary

    • That will update the Quantity

  • Click Quick Save to save your work

  • Click Save to close this page and return to the Item Journal detail page.

Confirm Adjustments & Post

  • From the Item Journal detail page → Click Post

  • Confirm by Click “Post Item Journal”

  • This will create inventory adjustments based on the Quantity for each Item Journal Line

  • You can view all the adjustment details under Ledger Entries on the Item Journal including:

    • Item Ledger Entries

    • Warehouse Entries

    • Cost Entries

    • GL Entries

Troubleshooting

  • If you delete a Cycle Count Item Journal without posting, you will need to release the bins associated with that Journal.

    • This will allow you to add those bins a future Cycle Count Item Journal.

    • To release the bins:

      • Open the Bin Record

      • Click Edit

      • Scroll to the bottom and find the “Frozen for Cycle Count” check box.

        • Uncheck the box

        • Save
